Five Things To Do When It’s Time To Move Your Office

Moving your entire office to a new building can be a daunting task, but it doesn’t have to be as complicated as you think. 1) Plan, Plan, Plan

The number one thing you can, and should do, is to plan your move. Logistics of what to load up first, how you organize loading certain items together, and the order that things come off the moving truck at your new workplace are all integral to prevent more downtime than necessary for your business. The post office, or the mailing service you use, should also be aware of when you are relocating – so as not to lose any packages or mail that you may receive close to the moving date

3) Check Building Requirements for Moving

Regardless of whether it’s the new or old office, you will need to check in with the building manager to reserve a time to use the loading dock and elevators. As each office building is different, you’ll need to adhere to the standards in place. This may require that you pad the floors and walls of the areas through which you’ll be moving your office furniture – especially the elevators. Speak to your building manager to find out what is required well in advance of your moving day.

4) Communicate with your Employees

You must communicate, early and often, with your employees about the move. It is vital that your business operations go unhindered, and your employees should be aware of the important moving dates. Leaving one of your sales staff with a chair and desk, but without a phone to make calls, wouldn’t exactly be ideal. Be sure to send out regular announcements, organizing things in such a way that it has a minimal impact on your business. There are some state/provincial laws that require you to notify your employees about a move within a specific timeframe; refer to these laws to cover all your bases

5) Delegate Responsibilities

If you’re the office manager or one of the people responsible for overseeing the move, don’t hesitate to assign smaller tasks to your employees and contracted helpers. Having the office secretary be in charge of changing the address and informing clients of the move is a good example of delegating work.  You should also have at least two managers present during the movie, one at the new office and the other at the old one. This way, you’ll have both ends of the move covered.
